After a journey, it helps to know what happens next: where to meet, who to contact and how you will get to your destination. Those small details can give your arrival in Kigali a clearer, calmer start.
You may be coming for a meeting, a first visit, a family holiday or time with friends. The reason for your trip shapes what matters to you. A business traveller may need to coordinate an onward meeting; a family may need to discuss children’s practical requirements; a group may be arriving on separate flights.
A useful airport-pickup brief brings those needs together before departure. Here are six things to arrange so you can spend less time working out the next step after landing.
1. Share the flight you will arrive on
Give your transport provider the airline, flight number, arrival date and scheduled arrival time in Kigali local time. If your journey includes a connection, share the flight number for the final leg into Kigali.
Check the date carefully when your journey crosses midnight. The departure date on your first flight may differ from the day you arrive.
Also distinguish your flight’s scheduled landing time from the time you expect to be ready for pickup. Immigration, baggage collection and any arrival formalities come before you leave the terminal. Avoid building a tight onward schedule around the landing time alone.
If your airline changes the flight number, routing or schedule, send the updated details to the person arranging your pickup. Ask whether they will monitor the flight and how they want you to report changes; do not assume flight tracking is included.
2. Describe the passengers and the luggage
Confirm how many people are travelling together and what they will bring: large suitcases, cabin bags, a stroller or any bulky items.
Passenger count alone does not explain the space needed. A small group with several large bags may need a different arrangement from the same number of people travelling light.
If you need a child seat, step-free access or help with a practical mobility requirement, raise it before confirming the booking. Ask the provider to confirm what can be accommodated. A request is not the same as a confirmed arrangement.
For travellers arriving on separate flights, make that clear too. Agree whether everyone will leave together or whether separate pickups are needed.
3. Send an exact destination
A hotel name is useful; a confirmed address or map pin is better. Send the name and location of your hotel, apartment, office or other destination.
If someone else booked your accommodation, ask them for the complete arrival details. Save those details on your phone so you can find them even if your connection is unavailable.
If you arrive late, check access or check-in arrangements directly with your accommodation. Transport to an address does not confirm that reception will be open or that someone will be there to let you in.
Let the transport provider know if you need a stop along the way. It is easier to discuss the route and any effect on the quotation before departure than to add an unplanned stop after pickup.
4. Agree where and how you will meet
Before you travel, ask for clear meeting instructions. Where should you go after leaving the terminal? How will you identify your driver or representative? Who should you contact if you cannot find them?
Avoid relying on a general instruction such as “look for your driver outside”. Ask for the specific meeting arrangement for your booking.
Save the instructions and contact details offline. Where driver or vehicle details are supplied, use them to check that you are meeting the person assigned to your transfer. If something does not match, contact the provider before continuing.
5. Confirm the quotation and what happens if plans change
Ask for the total quoted amount, what it covers and the agreed payment method. Confirm any waiting-time conditions, extra-stop charges or change and cancellation terms that apply to your booking.
These details are particularly useful if your flight is delayed or you spend longer than expected inside the airport. Ask when waiting time starts and who to update if you are not ready to leave.
Keep the booking confirmation accessible. It should give you a clear record of the arrangement you agreed, rather than leaving you to reconstruct it from several messages after landing.
6. Keep a way to communicate
Tell the provider which number or messaging contact you expect to use on arrival. Check your own roaming or connectivity arrangements before leaving home, and keep the pickup contact details saved offline as a backup.
Once you can communicate after landing, send a short update if your progress through the terminal affects the pickup. A message such as “I have landed and am waiting for my luggage” can help explain where you are in the arrival process.
If baggage is missing or damaged, follow your airline’s reporting procedure before leaving the relevant area. For example, RwandAir asks passengers to report baggage problems to its representative before leaving baggage claim. Let your pickup provider know if dealing with the issue delays your departure.
A short checklist to send before you travel
- Airline and final flight number into Kigali.
- Arrival date and scheduled local arrival time.
- Number of passengers, bags and any practical requirements.
- Exact destination, with an address or map pin.
- Agreed meeting instructions and contact details.
- Confirmed quotation, payment method and change or waiting conditions.
For an initial enquiry, describe these requirements without sharing passport copies or airline booking credentials.
