Your first business visit to Kigali should leave you thinking about the people you are coming to meet, rather than searching for an address or wondering what happens after you land.
A little preparation makes that possible. Knowing who to contact, where you are going and how tomorrow’s meetings fit together gives you room to settle in and enjoy your first impression of Rwanda.
Think of your first 48 hours as three moments: arriving with a clear plan, getting ready for business and making a little space for Kigali itself.
Before you leave: put the essentials in one place
Keep your accommodation confirmation, arrival arrangements and first meeting details together, somewhere you can access without an internet connection. Include a named contact and phone number for each arrangement.
Check Rwanda’s current entry requirements directly with the Directorate General of Immigration and Emigration. Confirm the requirements relevant to your nationality, purpose and length of stay before you travel; ask the authority about any uncertainty rather than relying on a general travel summary.
For the journey from the airport, agree your destination, meeting instructions and contact method in advance. Our airport-pickup checklist walks through the details to share before arrival.
If a colleague is arranging your visit, make sure you receive the final confirmation yourself. A plan is most useful when the traveller has it too.
Arrival day: give yourself time to settle in
Avoid making your first commitment depend on everything happening exactly on time. Allow room for arrival formalities, the journey to your accommodation and a chance to freshen up before a meeting.
Confirm check-in arrangements with your accommodation, especially if you expect to arrive early or late. Keep essential meeting materials accessible so that settling in does not become a search through your bags.
Once you arrive, send a short update to your host or coordinator. If your timing has changed, agree which arrangements need adjusting. One clear update can prevent several people working from different versions of your schedule.
Get connected before you need to be
Decide how you will use your phone in Rwanda. Check roaming and data options with your provider before departure, and confirm any alternative you intend to use. Do not assume connectivity will be available at every point in your journey.
Save your accommodation, meeting host and transport contact offline. Carry a charger and the adapters your devices need. If a presentation or call is important, ask your host about the connection and equipment available at the venue.
These are small details, but they help you arrive at your first meeting ready to take part.
Before your first meeting: confirm the whole journey
A venue name alone may not tell you which entrance to use or whom to ask for. Confirm the exact location, arrival instructions and a contact who can help you find the right place.
Check the meeting time, expected duration, working language and any access or identification requirements with your host. Ask about the dress expectations if you are unsure.
Then look at the day as a whole. Share the order of your meetings with whoever is arranging transport, allow time between venues and agree the return or onward journey. If a meeting runs over, know whom to contact and how changes will be handled.
The reassuring detail is a confirmed plan that everyone involved understands.
Make a little room for Kigali
Your visit can include something beyond the meeting room. Leave a little space for an experience that suits your interests: a Rwandan coffee, a meal with colleagues or a locally guided introduction to the city.
Tell your coordinator what would make the time meaningful for you. Share dietary preferences, accessibility needs and the time you actually have available. If a reservation or experience is requested, ask for confirmation of availability, timing and cost before treating it as arranged.
Thoughtful care starts with knowing what matters to the person visiting. It does not have to mean filling every free hour.
